JOB DESCRIPTION
POSITION SUMMARY:
This position is responsible for accounts payable and accounts receivable as well as general bookkeeping support. The Accounting Assistant position also provides general office support and assistance as required.
DUTIES, RESPONSIBILITIES AND RELATED TASKS:
1. Accounts Payable
q Prepares all aspects of accounts payable including reviewing invoices, coding to appropriate accounts, preparation of cheques and electronic fund transfers (EFTs), distributing cheques/EFT slips, responding to internal and external inquiries regarding cheques and EFTs; posting of accounts and maintenance of files;
q Reviews expense statements submitted by staff; prepares journal entries or cheques/EFTs as required to account for expenses;
q Reconciles petty cash and advance accounts on a regular basis.
2. Accounts Receivable
q Deposits all cash, cheques and credit card transactions in a timely manner; codes funds received; maintains the security of all receipts;
q Prepares invoices and receipts as required; tracks accounts receivable; maintains accounts receivable sub-ledger;
q Tracks donor information and issues donation tax receipts.
3. Financial Analysis
q Prepares journal entries and bank reconciliations;
q Analyzes accounts and expenses as required; assists with preparation of working papers for financial statements, year-end audit; assists with forecasting and budgeting;
q Prepares financial summaries for assigned accounts; analyzes expenses and revenues in conjunction with program manager;
q Analyzes and updates fixed asset listings to ensure completeness and accuracy.
4. Record Keeping
q Maintains accounts payable and receivable files; maintains consultant, key suppliers and general accounting files; ensures accuracy and completeness of electronic and paper files;
q Responsible for archiving old financial files as per company policies and procedures.
5. General Administration
q Participates on committees, task forces and/or work groups;
q Photocopies, faxes, and files as required.
q Adheres to agency policies, procedures and practices;
q Recognizes, identifies and reports problems, contentious issues and serious incidents and recommends solutions to the manager where appropriate;
q Participates in and contributes as a team member to the ongoing review and development of the administrative support services;
q Performs other duties as assigned including general office support and assistance as needed.
