Administrative Assistant – Pharmaceuticals
 
Victoriaville (3 Month Contract) / Adjoint administrative – Division des produits établis (Victoriaville) (Contrat 3 mois)

Status: Temporary, Full Time (3 months)

Position Overview:

This position is mainly responsible for providing secretarial and administrative assistance to the Site Director. In addition, this role communicates business-relevant information and organizational changes in a way that attempts to maintain a positive image of the site.

Responsibilities:

• Provides secretarial and administrative services utilizing Microsoft Office, MS TEAMS, fax, photocopy, distribution of mail, transcription, etc.
• Prepares correspondence; compose professional correspondence for signature of others
• Create and propose messages, presentations, internal memos, forms and newsletters, and prepares interacts with management and handles sensitive and confidential information, for example, business issues, management decisions, liaison with inside and outside senior management
• Prioritizes workflow and coordinates workflow after consulting with the Site Director or his substitute
• Assists management in determining administrative needs
• Develops and maintains systems for filing, correspondence flow, etc.
• Coordinates travel and hotel arrangements for group sessions and/or meetings requiring internal and external participation often involving senior management, independently
• Initiates and processes the ordering for materials, treats invoices for payment
• Other duties as required or delegated
• Efficient collaboration with all internal and external partners of the organization.
• Achieve and main high service levels and quality.

Required Education and Experience:

• High School graduation plus specific courses.
• 2 to 3 years of experience in similar role.
• Self-starting and able to adapt work priorities in response to complex or changing environment.
• Analytical skills to identify root-causes quickly resolve problems.
• Excellence in local language and English (both written and spoken).
