MaxSys is currently looking for a Bilingual Administrative Assistant, Intermediate position for our Federal Client.
Minimum mandatory criteria:

Must clearly demonstrate 1 year experience within the past 2 years; organizes, arranges and provides logistics and administrative support for travel, meetings and other events. Manages the executive’s agenda and flow of work, sets priorities.
Must clearly demonstrate 1 year experience within the past 2 years; prepares correspondence, assembles information from various sources to prepare meeting binders and answers requests for information. Ensures that all issues are handled according to priority
Must clearly demonstrate 1 year experience within the past 2 years; participates in working groups and project teams. Carries out small-scale projects related to Division activities.
Must clearly demonstrate 1 year experience within the past 2 years; coordinating the development and implementation of streamlined divisional processes for the receipt, tracking, filing, bring forwards and follow up for all correspondence, briefing notes, speeches and documentation. Follows-up on issues related to the tracking system
Education: Secondary school diploma or an acceptable combination of education, training and relevant work experience
Experience: 12 months relevant experience.
Typical duties may include:
Provide administrative services Such as agenda management, filing, document disposal, etc.
Provide support to managers within office
Assisting in the preparation of correspondence, reports, statements and other documents
Maintaining office supplies inventory
Processing of applications and forms
Maintaining databases, spreadsheets, and inventory information
Inputting and updating changes to meeting and appointment schedules
Arranging for telephones, e-mail accounts and equipment for new personnel
Answering queries from the general public
Using electronic reference tools for the purposes of researching and resolving client inquiries
Assembling and disseminating correspondence and briefing materials
Maintaining office equipment and arranging for service
Completing courier forms and dispatching couriers and
Processing and tracking correspondence (internal and external)
