MaxSys is currently looking for an Event Systems Officer (Event Planning and Coordination) for our client in the Ottawa area
Required Knowledge and Experience:
Event management systems experience (Cvent, and Concur Travel would be an asset)
Proficiency with technology and the use of web-based applications; general understanding of data analysis for reporting purposes
Experience managing several concurrent corporate events and onsite event management
Strong proficiency with Microsoft Office and Google G-suite
Familiarity with project management practices; strong organizational skills and ability to multitask
Excellent verbal and written communication skills
A creative and innovative thinker and planner
Proficiency in one official language French or English (oral, reading, written). Fluency in both official languages is preferred.

Good computer skills (Event Management applications, Google Suite or MS Office, Survey tools, etc.)
Salary and Benefits:
Permanent, full-time position (35 hours / week)
Salary Range: $71,779 to $89,724 (2018 scale)

Duties may include, but not limited to:
Provide subject matter expertise and advice to Institute staff on the use of meeting, event, and travel software (CVent and Concur Travel).
Liaise with event planners (Institute employees) to implement events, including application support, registration services, coordinating logistics, defining milestones, tracking progress, and quality assurance. Promote, support, and train event planners on system and event management.
Serve as the liaison with the external software providers on system usage, feasibility, and product management to ensure it satisfies the Institutes requirements.
Evaluate features included in periodic updates of the systems application platform as well as identify features of interest.
Ensure controlled process and work with the systems service provider in the delivery of new functionality including migration of changes across development, test and production instances in conjunction with the IT team.
Maintain system configuration to reflect the service providers and related policies.
Collaborate with Institute departments to determine and prepare customized reports and dashboards as needed.
Create and manage system-wide features such as users and roles, custom fields, data tags, security measures, and integration points.
Manage security settings that provide user access to data, including user account provisioning.
Coordinate with the Information Technology (IT) team members to configure and maintain application integration with other internal and external software applications.
Provide guidance to vendors and IT staff on the design and implementation of integration points.
Maintain quality of system application data through continuous data oversight and maintenance. Identify duplicate and incomplete records and work with Institute stakeholders for resolution.
Develop, implement and maintain an Institute-specific event system user guide, training, templates and configurations, including workflow, videos, documentation, and help sections.
Manage events onsite as required to ensure success on the day of the event.
